What’s new with Aptar

We have an exciting position open for an Executive Assistant to the Chief Legal Officer position. The Executive Assistant to the Chief Legal Officer and Corporate Secretary will be a highly motivated partner providing overall administrative support to the CLO by utilizing excellent communication skills, exercising sound independent judgment and discretion, and building relationships with internal and external contacts. The ideal candidate must possess intelligence, poise, integrity and the ability to maintain the utmost confidentiality in order to manage the many challenges and situations that will arise on a daily basis.



This is how your journey begins:

  • Maintain extremely active calendar of appointments; manage recurring meetings; create presentations, and handle meeting logistics. Make independent decisions within established guidelines to provide support with planning, organizing, and scheduling various events.
  • Regularly partner with CLO via frequent meetings, telephone contact and electronic communication to assess needs and opportunities for optimum task execution. Draft correspondence for review and distribution.
  • Arrange complex and detailed domestic and international travel arrangements, itineraries, and agendas in multiple time zones; compile documents for travel-related meetings; coordinate international visas and passports; react quickly and efficiently to last-minute changes to travel schedule.
  • Develop familiarity and trust with employees, clients, investors, and Board of Directors. Research and prioritize all requests, given time sensitivity and confidential nature of matters. Make adjustments to priorities as needed.
  • Alleviate CLO, and as time allows Global Legal Department department, of routine administrative details, including review of incoming correspondence, compilation of reports, sending meeting invitations, presentation preparation, expense report completion, and workflow scheduling and monitoring.
  • Prepare meeting agendas and briefings, maintain meeting notes and arrange for implementation of action items.
  • Act as liaison with organization.
  • Other duties as assigned to meet business needs. 


What you will bring on the journey

  • Minimum of 5 years of relevant experience at this level, with increasing responsibility, complexity, and initiative.
  • High proficiency in MS Office products (Outlook, Word, Excel, PowerPoint) and ability to use complex features.
  • Ability to maintain confidentiality and work with sensitive information.
  • Strong work ethic with the ability to communicate and provide support after-hours or on weekends due to global nature of our business.
  • Exposure to international cultures, languages, travel and/or travel scheduling in multiple time zones.
  • Superior customer service; strong attention to detail with focus on quality and accuracy.
  • Excellent verbal, written, and interpersonal skills; ability to communicate and interact positively and professionally with all levels (leaders, clients, vendors, assistants, and colleagues) around the world.
  • Strong prioritization, organizational, and follow-up skills; able to manage changing priorities and deliverables, coordinate work flow, and manage multiple tasks, projects, and deadlines.
  • Excellent problem solving skills; ability to proactively consider requests/needs and respond promptly and thoughtfully.
  • Self-directed and flexible; able to handle high-stress situations with calm competence; comfortable working in a fast-paced environment and able to exhibit sound judgment and decisiveness.

Preferred Qualifications

  • Bachelor’s degree or Paralegal Certificate highly desired
  • Foreign language skills (French in particular) are desired


Travel Requirements:

  • Ability to travel – domestic required (local driving and flights) and potential for minimal international travel.
